Almost every software comparison written for photographers treats this like any other small business. It is not, because of one structural fact: a wedding photographer has roughly thirty sellable Saturdays a year, and an unsold one cannot be recovered.

A full studio management stack costs somewhere between $455 and $1,188 a year. So a single unbooked Saturday is three to eight times the entire software bill.

That reframes what you are buying. The software is not an efficiency purchase. Its only job worth paying for is turning enquiries into booked dates before someone else does — and in this industry the enquiry usually went to four other photographers the same evening.

The two real options, and they are the same price

HoneyBook prices are the annual-billed monthly rate; it advertises up to 18% off annual. Dubsado states annual billing saves two months. 30-day trial on HoneyBook, 21-day full-Premier trial on Dubsado, neither requiring a card.

The entry tiers are $13 apart. Comparisons that turn on that number are wasting your attention.

The difference that matters is the lead form limit. Dubsado Starter gives you one; HoneyBook Starter gives you two. If you shoot weddings and portraits and commercial work, you want a different enquiry form and a different automated reply for each — and on Starter you cannot have them. That is the real reason both tiers exist, and it is a booking-speed constraint rather than a feature.

The threshold that decides the tier

Ask one question: do you have more than one kind of enquiry?

  • One service, one enquiry form, one reply. Starter is correct on either platform. $335–348.
  • Weddings plus portraits, or plus commercial. You need separate forms and separate automated replies. That is Dubsado Premier at $525 — unlimited forms with workflows, which is $63 less than HoneyBook Essentials and gives you more of the thing you actually needed.
  • A second shooter or an assistant who needs a login. HoneyBook Essentials includes two team members; Dubsado does not scope users this way. Ask before assuming.

At one unbooked Saturday costing $3,500, the $190 step from Starter to Premier pays for itself if it converts one enquiry every twenty years. This is not a close call.

The gallery is a second subscription, and its free tier takes 15%

Studio management does not deliver photos. That is a separate product and a separate bill, and it is where the pricing gets interesting.

The free plan is not free if you sell prints. It takes 15% of every store sale, and the $10 Basic plan takes none.

The threshold is $800 of print and digital sales a year. Above that, staying on the free plan costs you money. Most photographers who sell anything at all clear it in a season.

Storage is the other axis and it is not trivial: 3 GB holds roughly one wedding gallery. If you are keeping client galleries live for a year, you will be on Plus or Pro regardless of what you sell.

Bank transfer is worth $1,200 a year on high-ticket work

HoneyBook processes payments itself and publishes the rates. They are better than the category norm on cards and unusually relevant on a $4,000 booking.

HoneyBook’s card rate is below the usual 2.9% + 30¢, and it states there are no international or premium-card surcharges. But steering the retainer and the balance to bank transfer saves about $48 per wedding, which across a season is more than twice your entire studio management subscription.

Dubsado does not publish processing rates on its pricing page — it connects to your own payment provider, so your rate is whatever Stripe or PayPal charges you directly. Worth establishing before you compare the two, because on high-ticket work the processing line is larger than the subscription line either way.

The enquiry that did not book is still worth something

Here is the gap neither platform fills well, and it is the one closest to the Saturday problem.

Most enquiries do not book. The date was taken, the budget did not fit, they went with someone else. Studio management software marks that lead lost and stops.

But a couple who liked your work and could not book you knows other couples, and may be planning something else next year.
