The tier most people quote is the one without workflows or email sync, and the AI add-on costs more than climbing two whole tiers. Here is what each level actually gives you.

Three things about the structure matter more than the headline:
- Basic has no workflows and no two-way email sync. For most advisory firms that makes Pro the real entry tier, not Basic.
- There is no annual discount and no volume break. Cost is exactly per user times twelve, at every size.
- The AI Notetaker is $49 per user per month — more than the $40 gap between Basic and Premier.

Basic is probably not the tier you are actually buying
Almost every comparison quotes Wealthbox at $59. It is worth being precise about what $59 excludes.

Two of those absences do real work.
No workflows means no repeatable process — no automated onboarding sequence, no annual review checklist that assigns itself, no standard steps when a client rolls over an account. Workflows are the main reason most firms buy a CRM rather than keep using a spreadsheet.
No two-way email sync means your client correspondence lives in Outlook and not in the client record. If you chose a CRM specifically so the client history sits in one place, Basic does not do the thing you bought it for. It also matters to how you evidence advice: correspondence relating to recommendations is a record under SEC Rule 204-2, and firms that assume the CRM holds it should check that it does.
And 2 GB is small. A few hundred scanned statements, signed agreements and plan documents will reach it. Storage is not usually the deciding factor in software, but at 2 GB it becomes one.
Price the firm on Pro at $75 unless you have specifically confirmed you need none of the above.
The AI Notetaker costs more than two tier upgrades
Wealthbox sells an AI Notetaker as an add-on at $49 per user per month, described as an introductory rate. Set that next to the plan ladder:

Climbing from Basic all the way to Premier — picking up workflows, email sync, broadcast email, dashboards, API support and five workspaces — is a $40 step. Adding the Notetaker to Basic is a $49 step, and you still have none of those features.
That is not an argument against the Notetaker. It is an argument for pricing it as what it is: a second product roughly the size of the CRM subscription itself. Across a five-person firm it is $2,940 a year; across ten, $5,880.
Also note the phrase introductory rate. Ask what it becomes afterwards before you build the workflow around it.

What you will really pay
The solo advisor: $708 to $1,188
Basic at $708 is workable if you genuinely want a contact database and nothing more. Most solo advisors who buy a CRM want the email sync, which puts them on Pro at $900.

This is where the absence of a volume break shows. Ten users cost exactly twice five users; twenty cost exactly twice ten. There is no published tier at which the per-seat rate falls, so the only lever is the Enterprise plan and whatever it is negotiated at.

No annual discount is unusual here
Most CRMs price annual billing well below monthly. Pipedrive’s gap runs from 35% to 50%. Redtail’s is smaller but real: $39 against $45 on Launch, $59 against $65 on Growth.
Wealthbox publishes one rate. There is no advertised annual prepayment discount, which has two consequences worth naming:
- Comparisons that put Wealthbox next to an annual-billed competitor are not like for like. A $59 Wealthbox seat should be compared with a competitor’s monthly rate, not its annual one.
- You keep the flexibility you paid for. No annual commitment means no penalty for shrinking, which for a firm with uncertain headcount is worth something — just not usually 20%.
If you are signing for a multi-seat firm, ask for annual terms anyway. An unpublished discount is not the same as no discount.
Wealthbox against Redtail on price
These two are the default shortlist for advisory firms, and the comparison is sharper than the headline rates suggest.

At the same $59, Redtail Growth includes what Wealthbox charges $75 for and more. The nearest Wealthbox equivalent on features is Pro, which puts Redtail $16 per user per month ahead — $192 a year per seat, or $1,920 a year across ten people.
That is the price case, and it is one-sided. The case for Wealthbox is not price: advisors consistently rate the interface higher and find it faster to adopt, and adoption is the thing that actually determines whether a CRM earns its money. Paying $192 a seat for software your team will use is a defensible trade — make it deliberately rather than by accident.

How to pay less for Wealthbox
- Ask for annual terms even though none are advertised. Unpublished is not the same as unavailable, particularly above a handful of seats.
- Do not default to Premier for dashboards. The step from Pro to Premier is $24 a user — $1,440 a year across five people — for dashboards, workflow template sharing, API support and workspaces. Confirm someone will actually use them.
- Price the AI Notetaker separately and per head. At $49 it is a second subscription, not a feature, and the introductory rate will not last forever.
- Audit your seat count before renewal. With no volume break, every seat is full price forever — a dormant login costs $708 to $1,188 a year.
- Use the 14-day trial on the tier you intend to buy, not on Premier. Trialling the top tier and buying Basic is how firms discover the missing email sync in month two.
