What Launch leaves out

This is the part that matters most, because the missing pieces are the ones an advisory firm is likeliest to need for recordkeeping.

Two of those absences are worth thinking about carefully rather than as line items.

Compliant texting. Since 2021 the SEC has charged over 100 entities and collected more than $3 billion in penalties over off-channel communications — texts, WhatsApp, personal email — under the recordkeeping rules. Redtail Speak exists to put client texting on a preserved channel. It is a Growth feature. If you intend to text clients at all, that decides your tier before price does.

Document storage. Imaging is where signed agreements, statements and plan documents live inside the CRM. Without it those files sit somewhere else, and the CRM stops being the single client record you bought it to be.

Launch is a genuinely good deal for a firm that wants a clean contact database and keeps documents and communications elsewhere in systems it already trusts. It is not the cheap version of Growth — it is a smaller product.

It also changes how you should read the $1,200 gap between Launch and Growth at five users. You are not choosing between two prices; you are choosing between a plan you will outgrow and one you will not.

Is Growth worth $1,200 more at five users?

At five people, Launch is $2,340 and Growth is $3,540. What the extra $1,200 a year buys:

  • Compliant texting on a preserved channel
  • 200 GB of document storage inside the client record
  • Process workflows and automation triggers
  • Viewing permissions — which matters as soon as not everyone should see everything
  • Email, calendar and contact sync
  • Bulk email

For most registered firms this is not a close call. A standalone compliant-texting or archiving product typically costs more than $1,200 a year on its own, so if texting clients is part of how you work, Growth pays for itself on that single line.

Launch makes sense for a solo advisor or a small team that does not text clients, keeps documents in a separate managed system, and wants a contact database rather than an operating system.

The plan you remember is gone

Redtail spent years as the affordable option in this category, priced per database — roughly $99 a month covering up to fifteen users. That structure does not appear on the pricing page any more. Pricing is per user.

The per-database figure is the widely reported historical rate for context. It is not currently offered and is shown only to explain why quoted prices differ so much across older articles.

If you are still on a legacy plan, price your renewal at the current per-user rate before you assume it carries over. A ten-person firm moving from a flat database rate to per-user pricing is looking at roughly six times the cost, and that is a budgeting conversation you want months ahead of the renewal date rather than on it.

It also explains why older comparisons are unreliable here. If an article quotes Redtail at $99 a month, it is describing a plan you cannot buy.

The discount is $6 a user a month on both plans — a flat amount, which is why it looks larger as a percentage on the cheaper tier. Across a ten-person firm on Growth that is $720 a year.

It is a modest gap by category standards. Pipedrive’s monthly-to-annual difference runs from 35% to 50%; Wealthbox publishes no annual rate at all. If cash flow or headcount uncertainty argues for monthly billing here, the penalty for choosing it is small.

At the same $59, Redtail Growth includes what Wealthbox charges $75 for, plus compliant texting that Wealthbox does not offer at any tier on its price list. On features, Redtail is $16 a user a month cheaper — $1,920 a year across ten people.

How to pay less for Redtail

  1. Stay on Launch while you are five or fewer, but only if you genuinely do not need texting, document storage or workflows. Check that list before you save the $20 a seat.
  2. Plan the sixth hire. It adds $1,908, and knowing that in advance is worth more than negotiating afterwards.
  3. Pay annually. It is $72 a user a year on either plan — $720 across ten people, for a commitment you were likely making anyway.
  4. Price Growth against your separate archiving spend. If compliant texting replaces a standalone product, the tier upgrade is probably already paid for.
  5. Ask what the Enterprise minimum actually is before assuming you are too small for it. The commitment is not published, and above fifteen or twenty seats the per-user rate is the thing to negotiate.
  6. If you are on a legacy per-database plan, get the renewal quote early and model it at $59 a user. Discovering that in the renewal month leaves you no options.
