Zen Planner pricing

Zen Planner does something almost nobody else in gym software does: it publishes the whole grid. Eight member bands, every bundle, every add-on. The price runs from $99 to $289 a month for identical software — and the marketing add-on costs more than the platform itself until you pass 100 members.

Credit where it is due. Most of this category quotes by phone — Mindbody publishes a single Euro figure and routes the rest through sales. Zen Planner publishes its full member-tier grid, both bundles and every add-on price. That alone makes it easier to evaluate than most of its competitors.

The short answer

Studio runs $99 to $289 a month depending on active members — $1,188 to $3,468 a year. Every band gets the same software; you pay for size, not capability.

Three things to know:

  • Pricing counts active members only, never staff. That is the opposite of the per-user model most practice and studio software uses.
  • Every tier includes 100% of the Studio features. Zen Planner states this explicitly, so there is no feature gate to negotiate around.
  • The Engage marketing add-on is $249 a month flat — more than the platform itself at every band below 101 members.

The same software costs 2.9 times more at 251 members than at 45. That is the trade for member-based pricing: you are not paying per seat, so a gym with eight coaches and forty members pays $99 — but growth raises the bill on its own, without you adding a single staff login.

Note the shape of the ladder. The jump from 76–100 to 101–150 is $40 a month; from 101–150 to 151–200 it is only $10. If you are sitting at 98 members, crossing 100 costs $480 a year, and the band after that is nearly free.

The Engage add-on costs more than the platform

Engage is Zen Planner’s marketing and CRM layer — campaign marketplace, lead management, drip email and SMS, AI content generation. It is $249 a month, flat, regardless of member count.

Engage is flat at $249 a month. Below roughly 210 members the marketing add-on costs more than the platform it attaches to.

For a new gym on the $99 band, adding Engage nearly triples the bill. For a 300-member operation it is roughly proportionate.

That inversion is the buying decision. Engage is priced for a business with enough members to justify a marketing budget, and it is sold on the same page to a business with forty. If leads are your constraint, price it honestly against what a lead is worth to you — not against the $99 you were expecting to pay.

The Website price appears twice, and differently

Worth clearing up because it looks like an error and is not.

The bundle arithmetic confirms it: Essentials at the 0–45 band is $198, and Studio alone is $99 — so the Website component inside the bundle is $99. The $249 is the standalone rate for buying the website product on its own.

Do not read the $249 as the add-on price. If you already have Studio, the website is $99.

The Ultimate bundle discount is consistent too: Studio plus Website plus Engage bought separately is $99 + $99 + $249 = $447 at the entry band, against $348 for Ultimate — a flat $99 a month saving at every tier, exactly as stated.

What is not published

  • Payment processing rates. Payment processing is listed as included, with an asterisk: “additional charges and/or fees may apply”. No card or ACH rate appears anywhere.
  • Setup or onboarding fees. Not stated.

On a gym the first of those is the number that matters most, because a studio bills the same member every month. At 300 members paying $60, that is $216,000 a year through the processor — and a two-point difference in rate is roughly $4,300 a year, more than the gap between any two plans on this page.

At 300 members Zen Planner is $720 a year above PushPress Max and $1,560 above Pro on subscription alone. At 45 members the picture reverses: Zen Planner is $1,188 a year against PushPress Pro at $1,908, though PushPress also offers a free tier at that size.

Zen Planner is priced for small studios and gets relatively more expensive as you grow; PushPress is flat and gets relatively cheaper. Since neither comparison is complete without processing rates, and only PushPress publishes them, that is the number to request first.

How to pay less for Zen Planner

  1. Know which band you are in and how close the next one is. Crossing 100 active members costs $480 a year. Crossing 150 costs $120. The ladder is not evenly spaced.
  2. Clean up inactive members. Pricing counts active members, so members who have stopped attending but have not been cancelled are costing you twice — once in the band and once in the churn you have not measured.
  3. Price Engage against a lead, not against the platform. At $249 flat it is 2.5 times the base plan for a new gym. If it does not produce leads worth $3,000 a year, it is the wrong purchase at that size.
  4. Take the bundle if you want two or three products. Ultimate saves a flat $99 a month against buying separately, at every band.
  5. Ask for the processing rate and whether you can bring your own processor. On a recurring-dues business this is worth more than the plan choice.
